Automation projects tend to succeed or struggle based on preparation, not the automation tool itself. This checklist covers the areas most often skipped.

Process selection and rule definition

Choose a process with clear, statable rules first — even an imperfect one. Highly ambiguous, judgment-heavy processes are usually a poor first candidate for automation.

Approval routing and notifications

  • Define routing conditions explicitly — amount, role, department, or a combination
  • Decide what triggers a reminder, and after how long
  • Decide what triggers an escalation, and to whom

Reporting, integration, and change management

Confirm what the new workflow needs to report on, which systems it needs to connect to, and how the people affected will be introduced to the change — automation that surprises its users rarely gets adopted well.

Guide checklist

  • Select a process with clear, statable rules for the first rollout
  • Write down every routing condition, including edge cases
  • Define reminder and escalation timing explicitly
  • Confirm what needs to be reported on before and after
  • Identify integration points with existing systems
  • Plan how affected employees will be introduced to the new process
